• Implement fundraising ideas/programming to support a variety of different programs such as donating to Camp Fire USA, Scholarship for our local chapter, funds to improve the structure of the local chapter house, and many other worthy causes.



ALUMNAE CHAPTERS CRITERIA FOR CONVENTION GOOD STANDING & CIRCLE OF EXCELLENCE AWARD
Guidelines for determining good standing for Convention voting and Convention awards:
1. Per Gamma Phi Beta bylaw 7.b.1 “Good standing of chapters shall mean fulfillment of all international financial and reporting obligations.”
2. Good standing will be determined on a yearly basis.
• In the off years (non-Convention) the deadline for good standing will be July 31 (last day of the fiscal year).
• In the even years (Convention years), the deadline for good standing will be 30 days before the opening session of Convention
3. Good standing for the Convention year will be used to determine those chapters who will have a vote in the business meetings at Convention.
4. A chapter must be in good standing for BOTH years to be eligible for any type of Convention award.
5. Once the deadline is past, there will be no changing of the “status” of good standing.
6. Current list of requirements for good standing to determine Convention good standing:
• Form #25- Alumnae Chapter Officers List.
• Form #27- President’s Report.
• Form #17 – Alumnae International dues form and payment for at least 12 members.
• Payment of Technology, Publications & Forms fee.
• All invoices paid in full for supplies/equipment ordered from IH.
Guidelines for determining Circle of Excellence:
1. Circle of Excellence is an annual award event that is determined by its own criteria.
2. Circle of Excellence award winners are always determined by meeting specific due dates on forms and other financial obligations as stated on the Circle of Excellence Criteria in your alumnae officer’s packet and in the Alumnae President’s Book.
3. To be eligible for the basic Circle of Excellence the following criteria must be met annually.
• Technology, Publications & Forms fee must be postmarked to IH by December 1.
• International dues must be postmarked to IH by December 1.
• At least 12 members need to pay alumnae international dues by July 31 (end of the fiscal year).
• Officers List, Form #25 must be postmarked to IH by May 15.
• President’s Report, Form #27 must be postmarked to IH by May 15.
• Hold at least 4 meeting/events during the fiscal year.
• Participate in the Gamma Phi Beta Connection Program (assist a collegiate chapter).
• Higher circles may be attained by meeting additional criteria as provided on the Circle of Excellence Criteria in your alumnae officer’s packet and Alumnae President’s Book.





Beta Chi House Corporation Board
Gamma Phi Beta HCB Manual

HCB President:
• Organize Meetings
• Recruit/Maintain full volunteer board
• Sign contracts, deeds, leases, when authorized by the board
• Perform all duties ordinarily preformed by an executive officer

HCB Vice President:
• Live-in Coordinator
• Assist the president and perform her duties in case of her absence
• Issue house contracts

HCB Secretary:
• Keep the official records and maintain file of records, articles of incorporation, bylaws, and any other documents,
• Countersign notes, bonds, etc along with the HCB President
• Keep minutes of all board meetings
• Sets HCB meeting agenda
• Holds office of "supplies chair" in absence of chairwoman
• Annually send to IH the HCB Officer List (Form #45) and HCB Information Sheet (Form #8).

HCB Treasurer:
• Keep financial records and oversee budget
• Set's yearly budget, turns in copy to IH By
• Keep full, complete and accurate accounts of all money transactions, both receipts and disbursements
• Present financial update/condition at every HCB meeting
• Work with accountant for state, payroll, and IRS requirements
• Prepare quarterly reports (Form #34) and send to IH
• At the close of each fiscal year (Aug1-July 31) have a qualified accountant examine bookkeeping records
• Prepare Annual Financial Statement (Form #33) as well as any other required state and federal tax reports; send copies to IH
• Keep records of building fund payments
• Arrange necessary insurance protection

HCB Property Manger:
• In charge of the physical upkeep of the property and works closely with chapter House Manger
• Maintains inventory of property, dates of purchases, costs, etc
• Supervises all decorating, remodeling and renovation
• Confers with chapter for scheduling of maintenance on property to prevent scheduling conflicts ► Form 36*

Beta Chi Advisory Board

Gamma Phi Beta Advisory Board Manual

The Alumnae Advisory Board consists of local area alumnae. The Chapter Advisor is the chairwoman of this board, her duties include appointing the other advisors. The Chapter Advisor is appointed by the Regional Coordinator.

Chapter Advisor
• Advise the president and executive council & attend all meetings
• Attend all chapter meetings, Crescent Values/PACE nights.
• Attend standards committee meetings, unless the chapter has a standards advisor.
• Serve as a voting member of the house corporation board meetings
• To the best of your ability, keep apprised of state, national and local laws that affect the Greek system and your chapter. Keep apprised of all Sorority international and chapter bylaws, rules and procedures, standing rules and position statements. Keep the collegiate members and house corporation board apprised and informed of the above rules/laws and any changes that may affect them.
• Act as liaison between the collegiate members of the chapter, house corporation board and regional coordinator.
• Approve Event Check list Form #50 for chapter events. (Final approval is given by the regional coordinator.)
• File an Annual Chapter Advisor's Report Form #55 and Chapter Advisor Roster Form #55a with International Headquarters, on or before May 15 of each year.
• Attend Regional Leadership Conference & Convention.
• Keep in contact with the regional coordinator and International Headquarters on matters of discipline.
• Read and respond to monthly officer reports.
• Effectively promote conflict resolution.
• Effectively motivate executive council to achieve specific goals and objectives with workable action plans, responsibilities and time frames.
• Be involved in chapter retreats and officer retreats, by helping facilitate long-range and short-range planning and goal setting.
• Maintain a working notebook for future planning, history and ease for your successor.
• Be aware of the chapter budget and maintain ongoing awareness of year-to-date and previous years’ figures.
• Provide collegians information on available resources: manuals, workshop materials, videotapes, The Crescent, Gamma Phi Beta Web site, programs, SisterLink etc.
• Act as liaison between the collegiate members of the chapter and the local alumnae group/crescent circle. Duties as a Representative of our International Sorority
• Uphold all missions, rules and standards of the Sorority as outlined in the bylaws, Rules & Procedures and position statements.
• Praise collegians when they accomplish something positive.
• Talk with collegians that are late on bills (this is done with the financial advisor, if one is available; for further assistance contact your regional coordinator.
• Talk to executive council members who are not performing their duties and help to find solutions to the challenges.
• Inform collegians of scholarships and/or emergency grants given through the Gamma Phi Beta Foundation.
• Write letters of recommendation for collegians.
• Pay international membership dues.
• Attend local alumnae Panhellenic meetings (if available).
• Promote Panhellenic spirit between Gamma Phi Beta and other Greek organizations.
• Maintain ongoing communication with the campus Greek advisor.
• Act as chairman of the chapter's advisory board.
• Appoint advisory board members.
• Keep all advisors up-to-date and informed.
• Promote interaction and cooperation between collegiate officers and advisors.

Financial Advisor
• Ensure a smooth transition from one financial vice president to the next
• Ensure good internal controls are being followed
• Ensure effective communication regarding financial commitments and responsibility
• Serve on the house corporation board
• Monitor the chapter’s financial reporting efficiency
• Evaluate chapter financial activity
• Encourage and enable a collaborative approach to financial management among the members and the alumnae advisory board
• Advises Chapter Financial Vice President on semester budget setting
• Assists Chapter Financial Vice President on yearly financial contracts for members and new members
• Reports to HCB Treasurer all deposits made from the collegiate chapter
• Follows up with Chapter Financial Vice President on any of her responsibilities, forms, etc.
• The financial advisor should have authority to log into the chapter account with APH.
